Set Up Printers & Smart Multi-Routing

Route customer orders automatically based on document colors and paper sizes.

Scan2Print supports both Single Default Printer setups and Smart Multi-Printer Routing.

Mode 1: Single Default Printer

Recommended if you use one primary all-in-one printer. All incoming documents are spooled to this selected device regardless of whether they are color or B&W.

Mode 2: Smart Multi-Printer Routing

Recommended for high-volume shops using separate printers for cost efficiency and speed (e.g. fast laser for B&W and ink-tank for photos).

Category Trigger Condition Typical Hardware Assigned Route
📄 Black & White print_type == 'bw' Canon MF244dw, HP LaserJet B&W Laser Printer
🎨 Color Documents print_type == 'color' Epson L4160, Brother Tank Color Inkjet Printer
🖼️ Photos / Passports size in (4x6, 5x7, Passport) Canon G2000, Epson L805 Photo Tank Printer

How to Configure in Software:

  1. Click the ⚙️ Settings icon in the top header bar of the Desktop Agent.
  2. Click on the 🖨️ Multi-Printer Routing tab.
  3. Toggle Smart Multi-Printer Routing to ON.
  4. Select your physical Windows printers from the dropdown menus for B&W, Color, and Photo.
  5. Click "Save & Apply Settings".
4

Zero-Click Printing vs Manual Mode

Control how orders are processed when customers complete payment.

⚡ Zero-Click Instant Print Recommended

When a customer pays via UPI QR code, the order is spooled silently and instantly to the designated physical printer without requiring the shopkeeper to click any buttons.

✋ Manual Review Mode Optional

Orders arrive in your Live Queue. The shopkeeper inspects the page count, rate, and customer note, then clicks "Accept & Print" to send the job to hardware.

📂 Local Spool Directory (Backup):

Every printed PDF is automatically saved locally in your spool folder (by default: Downloads\Scan2Print_Printed_Output). You can click the folder icon on the desktop agent anytime to reprint or view customer documents.

5

Daily Routine & System Tray

Keep counter operations running smooth throughout business hours.

  • Minimize to System Tray Clicking the window minimize or close button shrinks the agent into your Windows taskbar system tray (near the clock). It keeps polling in the background without cluttering your screen.
  • Start on Windows Boot In Settings, turn ON "Start on Windows Boot" so whenever your countertop computer powers on in the morning, the agent starts automatically.
  • Audible Chime Alerts Whenever a new customer uploads and pays for an order, the agent plays a distinctive notification chime so you can collect sheets immediately.

Troubleshooting & Frequently Asked Questions

Quick answers to common countertop printing scenarios.

Why does the agent show "Offline" in the window?

Verify your internet connection and check that the Server API URL in Settings is set to https://scan2print.hostgeeks.in/api/index.php. Also verify that your Agent Token matches the token displayed in your Vendor Dashboard under Desktop Print Agent.

Can I test print without waiting for a customer order?

Yes! In the Desktop Agent window, click the blue "🖨️ Test Print" button in the top bar. It will generate and print a branded diagnostic page directly to your selected printer to confirm hardware connectivity.

What happens if my printer runs out of paper or ink?

Windows Print Spooler holds the job in queue. Once paper is loaded, printing resumes automatically. All original documents remain safely saved in your local spool folder and in your vendor cloud queue.

Can I run multiple desktop agents on different counter PCs?

Yes! Multiple computers in the same shop can run the desktop agent using the same shop token. They will process and balance incoming orders seamlessly.
